1. Are you providing MT services in the US currently? If yes, what is the profile of your clients?

We have subcontracts from US-based MT companies and we currently provide transcription services to several clinics and hospitals in the United States.

3. How can we run a trial of your system?

We offer a 3-day no-obligation trial of our transcription services. However, prior to commencing trials, we request prospective clients to provide information against questions contained in our checklist. We can send the checklist out to you anytime you are ready to commence trials.

4. Describe your quality control procedures.

At Fore, transcribed documents go through a two-tiered process, with a third level available where a recheck is necessary by a senior QA.

Transcription – MTs with 1-4 years of actual work experience.
QA Level I – MTs with 5 years of actual work experience with various accounts and specialties.
QA Level II – MTs with 7 years of actual work experience with various accounts and specialties.

Our monitoring and distribution software (ProMT) has QC feedback through which a transcriptionist has access to his or her file immediately after it has been edited, reflecting exactly where mistakes, if any, occurred so that the MT can learn from such constant and regular feedback. Reports are also generated constantly to indicate accuracy of files transcribed. Every effort is made to see that quality is maintained throughout the transcription and proofing process and this system has been put in place so that every document that is uploaded to the client can be accurate and error free, conforming to AAMT standards.

5. Please describe your technology infrastructure and data/ISP/power redundancies.

We have more than 100 workstations, all housed in an air-conditioned environment making it a clean, pleasant and healthy environment for our MTs to work in.

Data is constantly mirrored within the server as well as on to a separate Backup server. In addition, data is backed up at regular intervals on CDs and this maintained for a period of time depending on client requirements after which they are destroyed.

2 Mbps of Internet connectivity through DSL lines being provided by two different ISPs.

Power backups provided by a 15 KVA UPS battery backup, and further by a 50 KVA Diesel Generator

6. What language exists in your contracts to assign responsibility for breaches of privacy and security?

We are HIPAA and HCFA compliant. In aiming for HIPAA compliance, we have deployed systems and procedures that adequately address the issues of security and confidentiality
We have written contracts between our company and our clients signed by both parties. These contracts address privacy considerations for the patient information that each client will share with our transcription service as a "business associate.” We use only digital voice files which are present on the distribution server, and which are backed up on a regular basis onto CDs. These CDs are then stored in a safe location for the time period required by clients. Our file transfer software uses encryption for transfer of voice files as well as transcribed records.
